zipBoard AI Supplementary Terms

These zipBoard AI Supplementary Terms (“AI Terms”) form part of the zipBoard Terms of Service or Master Subscription Agreement, as applicable (the “Agreement”), between you (“Customer” or “User”) and zipBoard. These AI Terms govern your access to and use of any features, tools, or functionality within the zipBoard platform that incorporate artificial intelligence (“zipBoard AI”).

These AI Terms apply only when you choose to enable and use zipBoard AI. If you do not opt in, AI features will remain disabled for your account by default.

Definition of zipBoard AI

“zipBoard AI” refers to any capabilities offered within the zipBoard platform that use artificial intelligence or machine learning models to enhance workflows, assist with content analysis, or automate actions, and are clearly designated as AI features within our documentation or interface.

Use Is Optional

zipBoard AI is strictly opt-in. AI functionality is disabled unless explicitly enabled by you. Users and organizations who choose not to enable AI will not have any of their data processed through AI-powered features.

Data Usage and Privacy

Your inputs to zipBoard AI (“Input”) and the corresponding results generated by the system (“Output”) are considered Customer Data under the Agreement. zipBoard does not use your Input, Output, or any other Customer Data to train its own or any third-party machine learning models. Data processed through zipBoard AI features is not retained by third-party providers such as OpenAI for model improvement or training.

We may use de-identified usage metrics and feedback, when voluntarily provided (e.g., thumbs up/down), to improve zipBoard AI features. This feedback is never tied to identifiable Customer Data.

Security Data submitted through zipBoard AI is handled in accordance with zipBoard’s standard security practices as outlined in our Privacy Policy. Encryption and access controls are applied consistently to AI-related data flows.

Responsibility for Input and Output

You are solely responsible for your use of zipBoard AI, including the nature of the Input you provide and how you use the Output. You agree not to use zipBoard AI in a way that:

Violates any applicable laws or regulations;
Breaches the Agreement, these AI Terms, or our Acceptable Use Policy;
Infringes or misappropriates the rights of any third party.

Due to the probabilistic nature of AI, Output may not be accurate, complete, or unique. zipBoard AI may produce similar or identical responses to multiple users, and any Output should be reviewed and validated independently.

Restrictions on Use of AI and Output

You may not:

Use zipBoard AI or its Output to develop competing AI or machine learning systems;
Present Output as solely human-authored if doing so would mislead;
Use zipBoard AI for spam, misinformation, political campaigning, or harmful automation;
Violate any usage guidelines, documentation, or technical limitations.

No Guarantees or Warranties

zipBoard makes no representations or warranties regarding the accuracy, reliability, or fitness for a particular purpose of zipBoard AI. Output is provided “as is,” and should not be relied upon without independent review. Use of AI features is at your sole risk.

Service Availability

AI features may be dependent on third-party services. Any downtime or disruptions related to those services will not be counted toward any service level guarantees provided by zipBoard under your Agreement.

New Features and Updates

We may introduce new AI capabilities or make changes to zipBoard AI over time. Such updates may result in changes to these AI Terms, which will be communicated in accordance with the Agreement.

Regulatory Compliance zipBoard AI is not designed for use in regulated environments such as those requiring HIPAA, PCI-DSS, or similar compliance frameworks, unless expressly stated. It is your responsibility to ensure that your use of zipBoard AI aligns with any legal or regulatory obligations applicable to your organization.

Third-Party Policies

Your use of zipBoard AI must comply with applicable third-party policies, including but not limited to the terms and conditions of providers like OpenAI. A current list of relevant third-party providers and links to their terms is available at here.

zipBoard AI Security & Privacy Practices

At zipBoard, we are committed to building trust with our users by being transparent about how we integrate and use AI technologies within our platform. These AI Supplementary Terms outline how AI features are made available, how data is handled, and the choices you have as a zipBoard user.

These terms apply in addition to our standard Terms of Service and Privacy Policy, and are intended to give you clear insight into how AI capabilities are provided in zipBoard.

zipBoard’s AI functionality is designed to enhance productivity, streamline content collaboration, and deliver data-driven insights — all while respecting your privacy and control over your data. AI features are optional and only activated when users explicitly choose to use them. No data is processed by AI models unless you opt in.

zipBoard integrates AI into various parts of the platform to help users:

Generating AI-powered statuses based on content context
Recommending AI-driven task types to streamline workflows
Automatically tagging files and tasks with relevant labels

These features are continuously evolving, and we will keep users informed of any material changes.

🛡️ Your Choice to Use AI

AI functionality in zipBoard is strictly opt-in. Users and organizations can enable or disable AI features from their settings. If you or your organization do not enable AI, no data will be shared with any AI processing service. If AI is enabled at the organization level, it is the responsibility of the account administrator to notify users of its activation and usage implications.

🤖 AI Model Providers

zipBoard currently partners with reputable third-party AI providers, including OpenAI, to power select features. These providers are carefully reviewed for their data handling and security practices.

We ensure that any provider we work with adheres to strict contractual obligations regarding data privacy and security.

📄 Data Usage and Ownership

When you use zipBoard’s AI features, the content you input (e.g., comments, documents, task descriptions) and the AI-generated outputs are considered your data. We do not claim ownership over your content or the responses generated by AI.

You retain full rights to all content submitted to and generated by AI tools within zipBoard.

🧠 Training and Data Retention

zipBoard and its AI partners do not use your data to train AI models.

We have agreements in place to ensure that Customer Data processed through AI services is not retained for training purposes. All subscription tiers follow strict data retention policies. No tier permits the use of your data for training purposes. Any temporary processing for feature delivery is subject to secure deletion protocols.

🔐 Privacy and Security Commitments

All data shared with AI services (when enabled) is transmitted securely using encryption protocols such as TLS 1.2 or higher. We apply the same level of care and protection to AI-processed data as we do for the rest of our platform.

AI data handling follows zipBoard’s internal security standards, including:

Role-based access controls
Audit logging of AI feature use
Regular security reviews of AI vendors

Currently, AI processing may occur on servers located in the United States, subject to the data handling practices of our providers. We are evaluating support for region-specific data processing based on customer demand.

🔎 Permissions and Access Control

zipBoard AI features respect all existing permissions. AI-generated suggestions or summaries are only based on content that the requesting user already has access to. There is no cross-project data sharing or unauthorized access to content via AI.

🧾 Legal Use and Conduct

Your use of zipBoard AI must comply with all applicable laws and our Acceptable Use Policy. You may not use AI features to generate or distribute harmful, deceptive, or abusive content.
